How to request changes to your scope?

Need more support, fewer hours, or a different focus? Here is how to handle scope changes smoothly.

Business needs change — and your VA engagement should be able to change with them. Here is how scope adjustments are handled at JM Virtual Solutions.

What counts as a scope change:

- Adding new tasks or responsibilities not in the original agreement
- Increasing or decreasing the number of hours per week
- Shifting focus from one service area to another
- Adding a new platform or tool to manage
- Requesting a one-time project outside the regular scope

How to request a change:

1. Reach out via your preferred communication channel — email or chat
2. Describe what you need added, removed, or adjusted
3. Jenard will review the request and respond within 24–48 hours
4. If the change affects pricing or hours, a revised proposal will be sent for approval
5. Once agreed, the updated scope is documented in writing before work begins

Important ground rules:

- No scope changes are acted on without written confirmation from both parties
- Rush requests outside the agreed scope may not always be possible, depending on the current workload
- Reductions in scope require at least 7 days' notice out of respect for scheduling

What if you are not happy with the current arrangement:

If something is not working — the volume of work, the communication style, the deliverables — bring it up directly. JM Virtual Solutions operates on the principles of honest, open communication. Most issues can be resolved quickly with a short conversation.

To discuss a scope change:

Send a message via your agreed communication channel or email directly. For larger changes, a call may be scheduled to walk through the details.
